DATA PROTECTION CHARTER
As part of its commitment to the protection of personal data, Elia Médical Be (hereinafter the “Publisher”) strictly complies with the General Data Protection Regulation (GDPR), Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016, as well as the Belgian Act of 30 July 2018 on the protection of natural persons with regard to the processing of personal data.
Personal data means any information relating to an identified or identifiable natural person, directly or indirectly, such as a name, first name, email address, telephone number, or postal address.
By browsing the website www.elia-medical.be (hereinafter the “Website”), users and visitors (hereinafter the “User”) are informed that certain personal data may be collected and processed by the Publisher’s services, in accordance with the terms set out in this Data Protection Charter.
In the context of personal data processing, the Publisher acts as the data controller. The Publisher’s legal information is available in the “Legal Notice” section of the Website.
1 – Collection of Personal Data
The User’s personal data is collected, in particular, when submitting a request via the Website’s contact form.
The purpose of this collection is to process the User’s requests, respond to them, provide the requested information and, where applicable, manage the commercial relationship.
The following data may be collected and processed by the Publisher:

• Postal code;
• Any information voluntarily provided by the User as part of their request.
As the Website allows online ordering of products, additional data may also be collected, including delivery address, billing address, and information necessary for processing the order.

2 – Protection of Personal Data

OVH / OVHcloud is the Website’s hosting provider. The host’s legal information is available in the “Legal Notice” section of the Website.
The hosting provider offers a secure remote storage service for personal data and maintains its own data protection policy, available on its official website.
3 – Retention of Personal Data
Personal data collected through contact requests is retained for the period necessary to process the request and manage the relationship with the User.
When the purpose of the processing no longer exists, the data is deleted, anonymised, or securely archived, unless legal, accounting, tax, or regulatory obligations require a longer retention period.
Data relating to orders, invoices, or commercial relationships may be retained for the period required by applicable legal obligations.
4 – Cookies
The term “cookie” refers to a file stored on the User’s device, generated by the Website or by a third party and associated with a specific web domain. Cookies may be used to identify an internet browser, facilitate navigation, store preferences, or measure Website usage.

In the event of a complex request or a large number of requests, this period may be extended by an additional two months in accordance with the GDPR. The Belgian Data Protection Authority also confirms this one-month response principle.
